AIA Conference Hotel Arts Barcelona
Plenary, summit and awards night for an Asia-Pacific delegation, produced in the Gaudí Ballroom with A Events Group.
The projectOne ballroom, three shows.
AIA flew its Asia-Pacific delegation to Barcelona and asked for a conference day that felt like a launch, not a meeting. Working alongside A Events Group, we took the Gaudí Ballroom of Hotel Arts Barcelona and turned it into three rooms in one: a hypercar gallery where delegates arrived, a plenary and summit in front of a full LED stage, and an awards ceremony that closed the day at full volume.
We opened Gaudí 1 to 4 into a single space and drew it as two zones. On one side, red hypercars, light columns, branded totems and a photo call for networking. On the other, theatre seating in two blocks, a central aisle, front-of-house control and a stage built for keynotes by day and a show by night. Lighting, sound, rigging and power sat on the same general view, so every supplier built from one drawing set.
The result was a corporate conference in Barcelona that delegates photographed from the moment they walked in, and an awards night that switched the same room from content to celebration.

From brief to the awards stage.
One general view for lighting, sound, rigging, power and seating. One production lead from site survey to the last walk-up. One ballroom that changed mode three times in a day.

Hypercar gallery
Delegates arrived through a gallery of red hypercars, light columns and branded totems: the networking moment and the photo opportunity of the day.

Plenary & summit
Theatre seating in two blocks, full LED stage and front-of-house control with clear sightlines, for keynotes and the summit programme.

Awards night
The same stage switched to show mode: moving lights, full-width content, dancers and walk-ups for the awards ceremony.
Inside the conference
10 frames.

Seams for your client
Your brand on every document, your badge on site, invoiced to you. Agencies plug us in as their Barcelona arm.
Bringing hypercars into a five-star ballroom and running a plenary next to them is an engineering problem before it is a creative one. We solved it on paper first, so on the day the room could change from summit to awards show without anyone noticing the seams.Eric PastorCreative Director, Sugar for Events
Hotel Arts Barcelona, asked & answered.
Can you bring cars inside the Hotel Arts Barcelona ballroom?
Yes. For AIA we placed a hypercar gallery inside the Gaudí Ballroom, with the layout and access route drawn and agreed with the venue before load-in.
Can one ballroom host a plenary, a summit and an awards night?
Yes, if it is designed for it. We opened Gaudí 1 to 4 into one room, planned seating, sightlines and control from the start, and built a stage that changes from keynote mode to show mode.
Do you produce conferences in Barcelona for Asia-Pacific companies?
Yes. We produce for brands directly and for the international agencies that manage them, as we did with A Events Group for AIA, covering design, drawings, AV, build and show calling.
How quickly can you send a proposal?
Within 48 hours of a clear brief we send a first layout, concept and production approach.
